Hosting and server log files
When serving this website, our hosting provider processes technically necessary connection data in server log files. These may include IP address, browser type and version, operating system, referrer URL, hostname of the accessing device and time of the server request.
Processing is based on Article 6(1)(f) GDPR. Our legitimate interest is in providing a secure, stable and error-free website. Log data is not combined with other data sources and is retained only as long as required for operation, security or legal obligations.
Contacting us
contact form
When you use our contact form, we process the information entered: name, email address and message, plus company, telephone number and project interest if supplied voluntarily. We use this information to handle your enquiry and any follow-up questions. Without the required fields, we cannot process the enquiry through the form.
Processing takes place to carry out pre-contractual steps at your request under Article 6(1)(b) GDPR. Where your enquiry does not concern a contract, processing is based on our legitimate interest in handling enquiries efficiently under Article 6(1)(f) GDPR.
We use Resend to send form enquiries by email. Resend is a service of Plus Five Five, Inc., 2261 Market Street #5039, San Francisco, CA 94114, USA. The information you enter, sender and recipient addresses, subject and technical delivery data are transmitted to Resend and processed to provide the delivery service.
Resend states that it stores customer data in the USA. According to the provider, transfers from the European Union rely on EU-US Data Privacy Framework certification and, where necessary, the European Commission's Standard Contractual Clauses. Resend provides a Data Processing Addendum for this purpose. The specific retention period depends on the production configuration and is reviewed before launch. Further information is available in the Resend privacy information, the Data Processing Addendum and the list of subprocessors.
Guided project enquiry and materials
In the guided project enquiry, you may optionally provide information about your project, budget, preferred date, business location, requested services, materials and other requirements. Shared links and selected image files are sent to us with your enquiry. Images are validated and sent as email attachments via Resend; uploaded files are not made publicly available.
To let you continue your enquiry after reloading the same browser tab, we save project details and the current step in your browser's session storage (sessionStorage). Name, company, email, telephone, privacy confirmation and uploaded files are not stored there. The draft is removed after successful submission, when you restart the enquiry or when the browser session ends. Your entries remain in the browser until you submit. On submission, we also send the entry point on our website, such as the service page from which you opened the enquiry.
Protection against abusive submissions
To limit automated or abusive submissions, we calculate a SHA-256 hash of the IP address received when you submit the form. Each server instance keeps a temporary record containing this hash, a counter and an expiry time for a ten-minute window. This record is not stored permanently in a database. Processing is based on our legitimate interest in the secure and uninterrupted operation of the contact form under Article 6(1)(f) GDPR.
Contact by email
If you contact us by email, we process your enquiry and associated personal data to handle your request. The legal basis is Article 6(1)(b) GDPR where a contract or pre-contractual steps are involved. In other cases, processing is based on our legitimate interest in handling enquiries efficiently under Article 6(1)(f) GDPR.
Cookies, analytics and external fonts
When you acknowledge our cookie notice, we save the notice version and the time of your acknowledgement locally in your browser (localStorage). We recognise this acknowledgement for 180 days. After that, the notice appears again. This information is not sent to us. You can delete it at any time through your browser’s site data settings. An overview of the storage used is available under ‘Cookie settings’ in the footer.
In its current form, this website uses no analytics or marketing cookies. Adenia does not track users. Web fonts are served locally with the website, so loading a page does not connect to an external font provider.
SSL or TLS encryption
This website uses SSL or TLS encryption for security. An encrypted connection is indicated by https:// and the padlock symbol in your browser's address bar.
Retention periods
Unless a more specific retention period is stated, we retain personal data until the purpose of processing no longer applies. Following a valid erasure request or withdrawal of consent, we delete the data unless lawful grounds for continued storage exist. Statutory retention obligations remain unaffected.
Your rights
Subject to applicable law, you have the right to free access to your stored personal data and, where applicable, to rectification, erasure, restriction of processing and data portability. You may withdraw consent at any time with effect for the future.
Where processing is based on Article 6(1)(e) or (f) GDPR, Article 21 GDPR gives you the right to object on grounds relating to your particular situation. You also have the right to lodge a complaint with a competent data protection authority.
For privacy questions, you can contact support@adenia.media at any time.
